Job Role: Supplier Coordinator

Location: Luton               

Job Sector: Customer Service

Hours: 35 hours per week

As supplier coordinator you will contribute to our vision of being the leading residential property manager, as recognised by others by:

  • Being responsible for raising planned orders throughout the FirstPort estate and for carrying out related de-instruction of lost sites.
  • Working closely with Property Managers, Development Managers and the wider business ensuring that planned order raising, data input and management is of the highest standard
  • Prioritising effectively thus ensuring FirstPort’s compliance programme is managed to the highest statutory legislation possible.

The role of supplier coordinator reports to the customer service manager.

About You

You will be currently working in a role which requires you to plan, organise and manage numerous tasks. You would love to put your experience into practice in a fast paced environment where you are able to work as an individual but also as part of a team.

You want to use your excellent communication skills, both written and verbal to develop and deliver accurate planned orders related to operations and customers.

Having a high level of attention to detail and data analysis skills you are able to work to tight deadlines, multi task and prioritise own workload to ensure the delivery of all orders.

To stakeholders and colleagues across the business you are seen as trustworthy and credible which results in being able to build relationships effectively.

Main Responsibilities

  • Liaise with internal and external stakeholders on planned orders and discipline requirements.
  • Work in advance of planned order cycles and ensure orders are raised accurately and before expiry date with the use of the PTP system.
  • Ensure planned orders are placed with approved contractors as agreed between Procurement and Operations.
  • Ensure planned order suppliers have all the necessary in-date contractor documentation in place, including H&S, insurances. To work with Procurement to rectify any deficiencies identified.
  • Liaise with operations to ensure goods receipting happens in a timely manner once the planned work is completed by the contractor, to enable payment.
  • Liaise with contractors and operations in a timely manner to schedule the planned maintenance work with the relevant contractor.
  • Manage the planned orders inbox for Customer Support with communication from internal and external stakeholders and reply within service level agreements (SLA).
  • Proactively monitoring and managing planned order contractors aged debt situation and liaising with Purchase Ledger, FSS and Procurement to ensure issues are resolved and this is kept to a minimum.
