Job Role:  Surveying Assistant Co-Ordinator

Location: Hybrid Working

Hours:  35 per week, Monday to Friday

As the Surveying Assistant Co-Ordinator, you will contribute to our vision of being the favourite residential property manager by:

  • Supporting a successful revenue generating team of surveyors that significantly contributes to the overall success of FirstPort
  • Engaging with the wider business to promote the internal Surveying capability and maximise business opportunities.
  • Actively pursuing and delivering revenue opportunities within the Surveying team to meet budgets and targets together with generating appropriate data and metrics to support great overall team capability.

 This role reports to the Surveying Co-Ordination Team Leader and has no reports.

About You

You have a passion for providing an exceptional level of customer service at all times and have experience of working in a customer-facing environment.

As an efficient administrator, you can maintain finance records electronically, populate spreadsheets, email accounts, other computer systems and ideally have experience gained in a housing/property/surveying related business.

Having an energetic and enthusiastic approach means, you are flexible and resilient, able to work under pressure to achieve measurable outcomes.

Being resolution focused with the ability to be flexible and creative in your approach means you are able to negotiate and influence at all levels, whilst remaining calm in challenging or conflicting situations whilst focusing on achieving positive outcomes.

Main Responsibilities

  • Assist with managing the surveyor inbox and monitoring incoming emails, receiving and forwarding work requests to the appropriate surveyor taking into account the geographical location and individual workloads
  • Create quotations for work requests outside of the Surveyors instruction model for activities including Asset Management and Lifecyle Plans, Insurance Reinstatement Assessments (RCA’s) and Asset Replacement Delivery projects
  • Review, log and allocate new surveyor instructions. Answer queries relating to potential new instructions and other general enquiries including project status’s.
  • Review, record and save correspondence from the Major Works team(e.g. First Notice/Out to Tender/Second Notice/start date letters).
  • Diarise tender return dates and release tenders to surveyors.
  • Answer billing and invoicing queries from accountants, Operations and other areas of the business.
  • Assist with surveyor billing when required including processing timesheets. Raise invoice requests as required an liaise with the Finance teams to enable no direct service-charge billing to be undertaken.
  • Support Finance/Director of Surveying & Technical Services/Building Surveying Managers with the analysis of billing and forecasts. Assist monitoring of jobs to include reasons for overspent jobs, being able to present evidence of issues and concerns to key stakeholders
  • Carry out any other duties in relation to the administration or coordination of the surveying team.
  • Develop and maintain surveying team processes, procedures, flowcharts and reporting documentation
  • Identify potential business opportunities outside of FirstPort and assist the Head of Building Surveying in obtaining new business for external clients.
